Personal Fitness Training - Fall 2015

POLICIES & PROCEDURES

Training sessions must be scheduled no less than 7 days in advance. Days, dates & times need to be planned out during the consultation to allow trainers to plan for other clients. *If you are unable to schedule all sessions, you must be scheduled in one week time frames.

Session Cancellations You will be permitted ONE cencellation per package without penalty.
Cancellation notice must be sent atleast 2 hours prior to scheduled session.
Notice must be sent via email, as well as via call/text - trainer preference.
Any cancellation notice sent later than 2 hours before the scheduled session will be charged as a full training session.

Late Attendance You will be trained during your scheduled session.
If you are late, the time utilized for training will be reduced by the amount of time that you are late.
You are responsible for informing your trainer that you will be late.
Trainers are required to wait 15 minutes for their trainee to arrive, anything longer than 15 minutes will require that the patron notify their trainer by phone prior to the start of the session.
If the trainer does not receive notification in the alloted time, they are permitted to leave the session and the session will be charged toward the patron package.
Session Expiration Sessions must be utilized before they expire.
If you purchase a package and do not have a trainer assigned to you at the time of purchase, contact Erica Schrimmel - erschrim@buffalo.edu - 716-645-3567 - to be assigned to a trainer.
10-Session packages must be completed within 12 weeks of the first scheduled training session or Consultation/Fitness Assessment.
Consultation/Fitness Assessment must be scheduled within 3 weeks of purchase.
5-Session packages must be completed within 6 weeks of the first scheduled training session or Consultation/Fitness Assessment.
Consultation/Fitness Assessment must be scheduled within 3 weeks of purchase.
Warm-Up Unless otherwise arranged with your trainier, it is important to warm-up for 15-25 minutes prior to your training session to allow your session to be focused on attaining your fitness goals.
Session Preparation You are responsible for being prepared for each session.
This will decrease the amount of wasted time during your training session.
You must have:
Proper Apparel on and be ready to workout
Proper Footwear - Footwear worn outside during wet, snowing, muddy weather will not be permitted to be worn during session.
Water accessible
Towel - if necessary
Please use the bathroom facilities prior to your workout, if possible.
Sign-In Sign-in to the Trainer/Trainee Log prior to each session.
You are responsible for signing-in to the Log at the beginning and end of each training session.
This Log will have the start time and end time of each of the training sessions, your university status (faculty/staff, student, community) and remaining sessions in the package after the training session is completed that day.
Photo Identification Bring Photo ID to ALL training sessions.
UB Recreation, Student or Faculty/Staff Photo ID is required to utilize the facility.
Students, Faculty/Staff and Community Memberships must be current to access the facility and training sessions.
If your membership is not current, you will be required to update your membership prior to your session.
Be aware of your membership status prior to your training session to avoid utilizing training time to update your membership.
Faculty/Staff training during designated Faculty/Staff hours do not need to update their membership.
Refund Policy A 20% penalty will be applied to ALL refunds.
Refunds will only be granted for sessions not used - this does not include cancellation dates.
After 3 sessions have been completed, refunds will be granted on a case by case basis and will have to be approved by the Associate Director for Fitness.

Transfer Policy Sessions are non-transferrable.
